Event And Sponsorship Manager Temporary Full Time

JOB SUMMARY:

The

position will be responsible for event data-base management, maintaining event

budgets, event production, and all interactions and communication support

relevant to special events.
 

 Support the Director of Corporate Sponsorship with

client reporting and servicing. Interface with various departments at the

station including communications, accounting, legal production and

traffic.
  Create and maintain sales

materials and sales records.

 

SPECIAL EVENTS

ESSENTIAL FUNCTIONS OF THE JOB



  • Prepare

    and maintain all special event project records, including the KCET Cinema

    Series, and cultivation and fundraising events


  • Create

    and maintain all event reservations, including detailed guest and

    sponsorship lists            


  • Interact

    with all necessary internal departments, including New Media and

    Communications to support event activities


  • Work

    with external vendors and individuals as needed for events


  • Generate

    written correspondence, mail merge data lists for mailings, and coordinate

    invitation mailings


  • Must

    be available to work and assist in the production of all events, including

    those in the evenings and possible weekend events as needed


 

CORPORATE SPONSORSHIP

ESSENTIAL FUNCTIONS OF THE JOB:



  • Prepare

    and maintain performance data from Neilsen rating service


  • Update

    and maintain sales documents including program information sheets, and scheduling

    calendars, as well as research that is originated by Director of Research


  • Assist

    with billing including reconciliation and interfacing with traffic and

    accounting departments to insure accuracy


  • Communicate

    sales information to traffic, accounting and management via Details of

    Sales


  • Update

    and maintain accurate records of corporate clients' support of the station


  • Oversee

    legal approval process for underwriting messages; maintain records of

    reviewed creative


  • Interface

    with clients as backup for Director of Corporate Support


  • Provide

    additional support as needed for sales function at the station


 

JOB REQUIREMENTS:



  • Bachelor's degree and a minimum of 2 years of administrative

    and/or clerical experience required, preferably in nonprofits


  • Excellent

    written and verbal skills


  • Must

    have excellent PC skills using Microsoft Windows (Word, Excel and Power

    Point)


  • Familiarity

    with In-Design and other graphic programs preferred


  • Use

    of social media and internet applications to promote special events


  • Ability

    to maintain and monitor event budgets and records effectively


  • Must

    be extremely well organized with excellent time-management/multi-tasking

    skills


  • Must

    have exceptional skills in working with detailed information with a high

    level of accuracy


  • Ability

    to respond to sensitive matters or situations with discretion, tact and

    confidentiality, particularly with high-profile donors, corporate sponsors

    and event guests


  • Must

    be available to work nights and weekends as needed


  • Must

    be outgoing and diplomatic


  • Knowledge

    of event planning highly desirable


  • Knowledge

    of entertainment and cultural communities a plus


  • Familiarity

    with ProTrack preferred


  • Background

    with posting from Neilsen data preferred


  • Experience

    working with media, marketing and promotion a plus


  • Aptitude

    for working in a diverse environment; ability to interact with a wide

    variety of constituencies successfully

This position reports to the Executive Director, Special

Events and Director, Corporate Sponsorship.
